Guides, common questions, and how-to answers for using B2B Forms. If something isn't covered here, get in touch and we'll help.

Getting started

Three steps from idea to a live form that collects real responses.

1. Describe your business

On the Generate page, write a short paragraph about what you do and the form you need. No field lists or design decisions required — just plain English. Include the essentials: your services or products, who your customers are, what you'd like to learn from each enquiry, and anything else a respondent should know.

2. Review your generated form

B2B Forms identifies the category of form you need — a quote request, a demo booking, a vendor enquiry — and applies the right intent framework. You'll see a preview of the form with the questions and consent checkboxes already in place. Adjust anything you like before saving.

3. Share the link

Every saved form gets its own public URL. Copy it, share it via email or social media, or embed it on your site. Responses arrive in your dashboard as soon as someone submits.

Publishing and embedding

How to get your form in front of respondents.

Publish from your dashboard

Forms start as drafts. Open the form from your dashboard, click Publish, and it becomes live. The public URL is shown right below the title — it looks like b2bforms.com/f/your-form-slug.

Embed on your website

If you're comfortable editing your site's HTML, you can drop the form into any page. Take the public URL and use an iframe, or link to it from a button on your Contact page. Either approach works — the form is fully responsive and mobile-friendly.

Test before you promote

Submit the form yourself to check the field labels read correctly, the consent checkboxes work, and your response appears in the dashboard. Test submissions can be deleted from the dashboard once you're happy.

Where responses go

Every submission is structured, searchable, and ready to act on.

Your B2B Forms dashboard

Responses are saved automatically and organised by form. Open any response to see the full detail — every field, the timestamp, and the source of the submission. No CRM required, nothing to install.

CSV export

Click Export on any form to download every response as a clean spreadsheet. One row per submission, column headers matching your field labels. Useful for reporting, sharing with a colleague, or importing into another tool.

Webhook dispatch

Optionally, each response can be sent to a webhook destination the moment it arrives. This is how you connect B2B Forms to LeadPath, a CRM, or any tool that accepts HTTP requests.

Connecting to LeadPath

LeadPath scores, enriches, and routes every response so you know who to call first.

Included from Growth plan upwards

If you're on the Growth or Scale plan, LeadPath is included — no separate subscription needed. On Free and Starter, you can add LeadPath as an upgrade from your dashboard.

One-click connection

Go to Settings → LeadPath integration and click Connect. Your existing forms are linked automatically. From that moment, every new response is scored from 0 to 100, enriched with company data, and assigned to an owner with an SLA deadline.

Access your LeadPath workspace

After connecting, click Open LeadPath to land inside your LeadPath workspace, already signed in. Billing, plan changes, and everything else stay in your B2B Forms account — the two are linked.

Getting email notifications for every submission

B2B Forms doesn't send a per-submission email by default — but there's a clean way to set it up.

Why not by default?

Sending an email for every form submission is a great way to lose them in an inbox. Most teams get more value from routing submissions to a dashboard or CRM where they can be scored and prioritised. That said, plenty of users want an email too, and we understand why.

The webhook route

Set up a webhook on your form (Settings → Webhooks), then point it at a service like Zapier, Make, or n8n. Configure that service to send you an email when the webhook fires. You can send to Gmail, Yahoo, Hotmail, Outlook — whichever you use. This gives you per-submission alerts without B2B Forms needing to manage your inbox.

If you already use LeadPath

LeadPath sends email and Slack notifications for scored leads automatically, filtered by priority. If you've connected LeadPath, you're already getting notified — no extra setup needed.

Billing, plans, and limits

How plans, responses, and upgrades work.

Response limits per plan

Each plan includes a monthly response limit: Free 100, Starter 1,000, Growth 5,000, Scale 25,000. Limits reset on the 1st of each month. You can see your current usage at the top of your dashboard.

What happens when you reach the limit

Submissions keep arriving for 3 more days after you cross the limit, so nothing urgent is missed. Your dashboard shows a banner the moment you go over. After the 3-day grace period, the form pauses until you either upgrade or the new month starts.

Upgrading, downgrading, and cancelling

Change plan, update your payment method, or cancel any time from the Billing page. Every plan starts with a 14-day free trial. If you cancel mid-month, you keep access until the end of the current billing period.

Frequently asked questions

The questions we hear most often.

Can I have form submissions sent to my Gmail, Yahoo, or Hotmail account?

B2B Forms doesn't send per-submission emails by default. To receive an email for every submission, set up a webhook on your form and point it at Zapier, Make, or n8n — those services can then email you on any inbox. If you connect LeadPath, you'll get email alerts for scored leads automatically, no extra setup needed.

Do I need a CRM to use B2B Forms?

No. Every response is saved to your B2B Forms dashboard, searchable and exportable as CSV. CRM connections are optional — you can dispatch responses to Pipedrive, Zoho, LeadPath, or your own webhook endpoint, but you don't have to.

What kinds of forms can I create?

B2B and C2B forms only — no e-commerce, no generic contact forms, no community signups. Demo requests, quote requests, vendor onboarding, bookings, applications, waitlists, and reservations are all supported.

How does the AI know what to ask?

You describe your business in plain English. B2B Forms identifies the category of form you need and applies the right intent framework — BANT for B2B, service intent for C2B. You get a form shaped for your industry, not a blank canvas.

Can I edit a form after publishing it?

Yes. Open the form from your dashboard, make your changes, and save. The public URL stays the same, and any responses you've already collected stay untouched. Changing a form doesn't affect past responses or their stored data.

Can I have multiple forms on one account?

Yes. Every plan allows multiple forms — Free supports up to 3, Starter up to 10, Growth up to 25, and Scale allows unlimited. Each form has its own URL, its own responses, and its own webhook settings.

Is it UK GDPR compliant?

Yes. Every generated form includes two separate consent checkboxes — privacy acceptance (required) and marketing opt-in (optional). Never bundled, never ambiguous. This is the recommended pattern under UK GDPR.

What happens to my data if I stop paying?

Your account stays active until the end of your current billing period. After that, since we no longer have a lawful basis to hold your data, we delete it — including every response you've collected. If you want to keep your forms and responses, keep your subscription active, or export your responses to CSV before the billing period ends.

Can I cancel at any time?

Yes. No lock-in, no minimum term. Cancel any time from the Billing page. You keep access until the end of your current billing period, and you're not charged again after that.

Can I have a custom domain for my forms?

Forms currently live at b2bforms.com/f/your-form-slug. Custom domains are on our roadmap for Starter and above. If this is important for your brand, get in touch and we'll keep you posted.

How do I change my email or password?

Change your password from Settings → Password. To change your email address, contact us — we handle it manually to prevent account-takeover issues.

Do you offer refunds?

Every plan starts with a 14-day free trial, so you can evaluate the product before paying. If you're on a paid plan and something isn't right, get in touch — we'll sort it out.
